Aeneis is the enterprise quality management software of our choice as a digital QM/RM system at Klinikum Klagenfurt am Wörthersee. The effort and complexity required to meet corresponding QM/RM requirements has been reduced thanks to Aeneis, which leaves more time for nursing and medical employees for their actual profession.

An interview with Dipl. Ing. Michael Baumann MSc, Head of Quality, Risk Management & Patient Services at Klinikum Klagenfurt am Wörthersee of the KABEG Landeskrankenanstalten-Betriebsgesellschaft.
”We wanted software that supported an integrated management system”

We were looking for enterprise quality management software as the basis for quality management. We wanted software that would not support us as part of an ISO 9001 certification, but also for further implementations of integrated management systems.
In 2008, we received the first ISO 9001:2008 certification with the help of Aeneis as a digital QM system. The configuration and use of the software was still very static back then and therefore Aeneis was only used by around 5 to 10 people in the QM department of Klinikum Klagenfurt am Wörthersee. Processes were modeled in Aeneis and then published on the intranet and made available in paper-based form in special areas using print reports.

In 2019, we began to strategically plan and further develop the internal use of Aeneis on a modular basis. One goal, for example, was to digitize paper-based processes.
Aeneis has also evolved and has become increasingly intuitive to use. The transition from version 5 to version 6 has accelerated increased usage.
At Klinikum Klagenfurt am Wörthersee, Aeneis has become a living system that is actively used by employees in everyday life. They now check in more often and use the links in the process to quickly get the information they need. The introduction of the digital integrated management system via Aeneis was the decisive point through which the use of the tool could be significantly increased.

The goals form the basis for upcoming measures. In Aeneis, action management is visible in the various phases:
Aeneis presents audit reports from internal and external audits, so that audit findings are processed purely digitally in combination with action management by the respective organizational unit.
Since employees enter relevant data during the year, all data is automatically included in Aeneis' management assessment and displayed clearly at the end of the year. Aeneis automatically evaluates how a key figure has developed and whether a corresponding key figure result is above/below the defined target level.
Aeneis has helped us a lot in the QM department because the organizational units themselves can view and maintain their processes, goals, opportunities and risks. Aeneis even helps people to maintain data, as Aeneis offers the option of generating reminder functions and individual dashboards, through which employees can always see which topics and measures are still pending.
The reward for active use: In the past, data often had to be paper-based and/or manually maintained in order to meet appropriate QM requirements. This was very time-consuming, which is why data was often maintained to a minimum. Effort has been reduced, clarity has improved, complexity has been reduced, leaving more time for nursing and medical employees for their actual profession.
Management dashboards were generated for the QRM department, which enable monitoring of QM/RM topics, for example whether a measure was derived from opportunities/risks or whether key figure results were collected at the defined measurement intervals.
Specific QM tools such as stakeholder analysis or context analysis based on PESTEL methodology were provided for top-level management.
