Process-oriented IT design with SmartEdit

In a pilot project, REWE Group is launching a completely new form of preparation of specifications for IT projects. The aim is to replace Microsoft Word as a documentation tool. In future, specifications, including all text chapters and process diagrams, can be created via the Aeneis BPM portal in order to increase data quality and ensure that the IT solutions to be developed are process oriented right from the start.

IT follows processes
With this approach, new IT solutions can be derived directly from REWE Group's business processes. In terms of systems technology, it is obvious that process requirements of new IT solutions are recorded directly in the Aeneis BPM tool, which is used across the Group to define and model processes.

Data-technical enhancement of the specifications
Another advantage of the Aeneis solution compared to the Microsoft Word solution is that functional and non-functional boundary conditions and business rules can now be entered directly in the specifications and in the processes. However, these are not only recorded textually, but are also represented as such in terms of data technology. This allows queries such as “Show which processes the business rule X occurs in.” In addition, business rules can be refined with decision charts if required.

Working together on a specification
In future, business analysts will incorporate their process requirements directly into Aeneis. In contrast to the previous approach with Microsoft Word, this now allows you to edit a specification sheet by several analysts at the same time. Analysts can also access, edit, and generate print reports from anywhere.

Standardization and data quality
Aeneis has a detailed change history, which saves all changes to the specification sheet in a comprehensible manner — including the author and the exact time of the change. With the help of the extended approval workflow, a flexibly configurable approval process for the requirements specifications can be configured. Since there will only be a single data source in the future where the specifications are created, edited and archived, reliable data quality is guaranteed.

Intuitive operation
The complex data structure of specification sheets and their links to other technical documents was displayed very simply and intuitively in the Aeneis BPM portal using flexible configuration options. In this way, relevant documents, such as checklists, can be linked to the specification sheet with just a few clicks. Similar to Word, texts are edited with a WYSIWYG editor and enriched with images. A three-level chapter overview allows business analysts to quickly and clearly jump back and forth between chapters.
